Role Purpose
The Warehouse Manager - Distribution is responsible for the picking, packing and revenue generating activities in the Warehouse Operations This includes inbound order picking and packing, product kit splitting, and the safe despatch of customer orders. The role carries full responsibility for warehouse health and safety compliance, team performance, and operational efficiency within those areas ensuring the warehouse meets service level agreements (SLAs) and delivers an outstanding customer experience.Key Responsibilities
Picking
- Oversee all order picking operations, including single-order, batch, wave, and zone picking methods, ensuring accuracy and speed targets are consistently met.
- Monitor pick rates and accuracy KPIs, identifying underperformance and implementing corrective actions or training as required.
- Ensure pickers are using correct scanning procedures and WMS prompts to minimise mispicks and stock discrepancies.
- Manage workload planning and task allocation to meet daily despatch cut-off times across all sales channels.
Packing
- Oversee the packing function to ensure all customer orders are packed to brand standards, with correct items, quantities, and packaging materials.
- Ensure packing benches are set up ergonomically and that consumables (boxes, void fill, tape, labels) are adequately stocked at all times.
- Monitor and improve packing throughput rates without compromising quality, managing labour allocation according to order volumes.
- Ensure correct carrier labels are applied and that orders are correctly sorted by carrier, service level, and destination.
- Manage packaging waste in compliance with Extended Producer Responsibility (EPR) regulations and internal sustainability targets.
Kit Splitting & Product Assembly
- Manage the splitting or disassembly of product kits, bundles, and multi-pack SKUs into component units in line with business requirements.
- Ensure kit splitting activities are accurately reflected in the WMS, with parent and component SKUs updated to maintain inventory integrity.
- Coordinate kit splitting schedules with the buying, merchandising, and ecommerce teams to meet promotional, seasonal, or clearance requirements.
- Maintain clear work instructions and quality standards for kit splitting processes to ensure consistency and accuracy across the team.
- Record and report any damaged, unsellable, or missing components identified during the splitting process.
Despatch & Carrier Management
- Ensure all orders are despatched on time and in line with carrier collection schedules and SLAs.
- Liaise with carrier partners on performance, failed collections, and resolution of shipping exceptions.
- Maintain compliance with carrier manifesting, labelling, and customs documentation requirements for domestic and international shipments.
- Monitor carrier performance data and escalate service failures to the operations leadership team.
Health & Safety Responsibilities
The Warehouse Manager - Distribution holds primary operational responsibility for health and safety within the warehouse environment. This includes full compliance with the Health and Safety at Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999, and all associated legislation applicable to warehousing and logistics operations.Risk Assessment & Safe Systems of Work
- Conduct, review, and maintain written risk assessments for all warehouse activities including manual handling, working at height, use of MHE, vehicle movements, racking, and kit processing.
- Develop, implement, and communicate Safe Systems of Work (SSOWs) and Standard Operating Procedures (SOPs) for all operational areas.
- Ensure risk assessments are reviewed following any incident, near miss, significant change in process, or at least annually.
- Conduct regular documented inspections of the warehouse, identifying hazards and ensuring corrective actions are completed in a timely manner.
Manual Handling
- Ensure all warehouse staff receive manual handling training before undertaking physical tasks, with refresher training provided at appropriate intervals.
- Use HSE Manual Handling Assessment Charts (MAC) to assess high-risk manual handling tasks and implement engineering or procedural controls to reduce risk.
- Monitor staff for signs of musculoskeletal strain and ensure early reporting of symptoms is encouraged and acted upon.
Mechanical Handling Equipment (MHE)
- Ensure all MHE (forklifts, pallet trucks, reach trucks, conveyor systems, etc.) is maintained, inspected, and tested in accordance with PUWER 1998 and LOLER 1998.
- Maintain records of all equipment inspections, thorough examinations, and pre-use checks.
- Ensure only trained and authorised personnel operate powered industrial vehicles, and that operator licences are kept up to date.
- Manage vehicle traffic routes within the warehouse to achieve safe segregation of pedestrians and vehicles at all times.
Racking & Storage Safety
- Implement a regular racking inspection programme in line with SEMA (Storage Equipment Manufacturers Association) guidelines and HSE guidance (HSG76).
- Ensure racking damage is reported immediately, with affected bays taken out of use until assessed and repaired by a competent person.
- Maintain racking load notices and ensure maximum load capacities are never exceeded.
- Ensure racking is anchored correctly and that floor conditions in storage areas are maintained to a safe standard.
Fire Safety
- Ensure the warehouse fire risk assessment is current, reviewed at least annually, and that findings are actioned promptly.
- Maintain clear fire escape routes, emergency exits, and assembly points at all times, free from obstruction.
- Conduct regular fire evacuation drills and ensure all staff are trained in fire safety procedures.
- Manage the storage of materials to prevent accumulation of combustible waste and to maintain safe aisle widths.
- Liaise with the responsible person/fire warden team and ensure adequate numbers of trained fire wardens are in place for each shift.
PPE
- Identify all tasks requiring Personal Protective Equipment (PPE) through risk assessment and ensure appropriate PPE is provided free of charge to all relevant employees.
- Maintain PPE stock levels, inspect equipment regularly, and ensure damaged PPE is replaced promptly.
- Enforce PPE usage compliance through observation, training, and disciplinary procedures where necessary.
Incident Reporting & RIDDOR
- Ensure all accidents, incidents, near misses, and dangerous occurrences are reported, recorded, and investigated promptly.
- Submit RIDDOR reports to the HSE within statutory timeframes for reportable injuries, dangerous occurrences, and occupational diseases.
- Lead root cause analysis investigations following significant incidents and implement preventive measures to avoid recurrence.
- Maintain the accident book / incident log in compliance with GDPR and report trends to the operations leadership team.
Working at Height
- Ensure all work at height activities are planned, supervised, and carried out safely in accordance with the Work at Height Regulations 2005.
- Ensure appropriate equipment (mezzanine guard rails, step ladders, mobile elevating work platforms) is available, inspected, and used correctly.
- Prohibit the use of improvised methods of working at height (e.g. standing on racking, pallets, or boxes).
Welfare & Mental Health
- Ensure adequate welfare facilities are maintained, including clean rest areas, toilets, changing rooms, and access to drinking water.
- Conduct and review mental health risk assessments where work patterns, pace, or conditions could cause psychological harm.
- Actively promote a positive safety culture where staff feel comfortable raising health and safety concerns without fear of reprisal.
- Support access to occupational health and Employee Assistance Programme (EAP) resources for staff requiring additional support.
Compliance & Training
- Ensure health and safety inductions are completed by all new starters before they begin work in the warehouse.
- Maintain a training matrix for all warehouse staff, tracking mandatory and role-specific training completion and renewal dates.
- Work with HR to ensure the warehouse health and safety policy is reviewed, updated, and communicated to all staff at least annually.
- Manage relationships with external health and safety consultants, insurers, and regulatory bodies (HSE, local authorities) as required.
People Management & Leadership
- Lead, motivate, and develop a team of supervisors, team leaders, and operatives to deliver operational and performance targets.
- Conduct regular team briefings, one-to-ones, and performance reviews, setting clear objectives and development plans for direct reports.
- Manage absence, conduct, and performance in line with company HR policies, working in partnership with HR as required.
- Plan and manage staffing levels and shift patterns in line with order volumes, including the management of temporary/agency labour during peak periods.
- Foster a culture of continuous improvement, accountability, and respect across the warehouse team.
- Identify training and development needs across the team and ensure appropriate training is sourced and delivered.
